RecallStyle

Salon rebooking software that brings customers back automatically

Rebooking is the highest-return work in a salon and the first thing that gets dropped on a busy day. RecallStyle turns it into a nightly routine: find who is due, find where their stylist is free, write the invite, and let one reply book it.

How does automatic salon rebooking work?

Automatic rebooking looks at each customer's visit history to predict when they will want the same service again, checks the calendar for openings with their preferred stylist around that date, and sends a personal message offering those slots. When the customer replies, the appointment is booked, confirmed and reminded like any other. The salon approves messages until it trusts the routine to run by itself.

How RecallStyle does it

The actual workflow, in the order it runs. Nothing here depends on a person remembering to do it.

  1. 1

    Visit history

Every completed appointment is recorded with services, stylist, date and spend, so the pattern for each customer is real, not assumed.

  2. 2

    Predicted cadence

A cut every four to five weeks, colour every eight to ten, a beard trim every two. The cadence is learnt per customer and per service.

  3. 3

    Customers due and overdue

Each night RecallStyle lists who is due in the coming week and who has slipped past their usual gap. Your team sees the same list on the dashboard.

  4. 4

    Preferred barber and service combination

The invite is built around the stylist they usually book and the services they usually pair, for example cut and beard together.

  5. 5

    Real availability

The calendar is checked for that stylist around the expected date. Only genuine openings make it into the message.

  6. 6

    A personal WhatsApp message

"Hi Aman, you are about due for your cut and beard with Karan. He has Thursday 7:30 or Saturday 11. Want one held?" From your number, in your tone.

  7. 7

    Booking and confirmation

The reply books the slot. Confirmation and reminders follow automatically. If they want a different time, the AI offers the next real openings.

  8. 8

    Conversion tracking

You see how many invites went out, how many were opened, how many booked and what they were worth. Segments that convert well can be switched to automatic sending.

Questions salon owners ask

How can a salon automatically rebook customers?

Record every visit, learn how often each customer returns, and message them when they are due with a slot they can accept in one reply. RecallStyle does all three. The salon's only job at the start is approving the drafted messages each morning.

Is this the same as sending a promotion?

No. A promotion goes to everyone and offers a discount. A rebooking invite goes to one person, at the time they usually come, with their stylist's real openings, and offers nothing but convenience. It converts because it is useful.

What if the customer wants a different time?

They reply with what they want and the AI offers the nearest real openings, within your hours and their stylist's schedule. If it cannot resolve it, your team picks it up with the conversation attached.

How is a customer's cadence worked out?

From the gaps between their own past visits for the same service. Outliers such as a holiday are smoothed. A customer with one visit uses the typical cadence for that service until they have more history.

Can I stop messages going to certain customers?

Yes. Any customer can be excluded, a reply of stop ends the sequence, and there is a cap on how many reminders one person receives in a period.

When will automatic rebooking be available?

It is the next release after the pilot, together with the AI receptionist, because both use the same customer history and booking engine. Pilot salons get customer records and two-tap manual rebooking today.
